Automated Systems for Inventory-Making of the Murom Museum Reserves - Theory and Practice.



In the beginning of the 1990s after the first PC was installed in the museum the electronic inventories of the collections in doc. format were created, thus facilitating the repositories’ work at making annual accounts and checking collections. Nowadays on the site of the Cooperation of the Lower Oka museums (www.oklandia.murom.ru) there’s a database on the collections of museums - participants of the Internet Cooperation of the Lower Oka Museums implemented in 2002. Together with the originating of the web-version there arose the necessity for creating the software for working up the Murom Museum reserves containing about 80 thousand units.

The museum is financed from the municipal budget of a regional town and has no opportunity to acquire the widely-known software products - ÊÀÌÈÑ or ÀÑ-museum.

The way out was found in creating the so-called ASIMR (Automated system for inventory-making of reserves). The students of the Murom Higher School of Vladimir State University developed the ASIMR.

While defining the technical task before the programmer was set a demand to supply the database with a thorough interface and make it easy to operate for a not technically educated user. The program opportunities let omit a web-administrator, all the records and operations are conducted by a user - a repository or a worker of the inventory-making section.

The database contains complete information about the reserve units according to the margins of the receipt book, in form fixed by the instructions of the Ministry of Culture in 1984, such as Number in the receipt book, Title, etc., and additional margins: Classification, Inventory number, Photography, Additional Photography (for kinds of ceramics, etc.), Legend, Literature, etc. If necessary the system can be easily modified according to the new demands.

Potential resources of the system are:

n Addition, edition and deletion of the data in the database tables or in particular form.

n View of the data separately from the database tables.

n Marking, coping and inserting data, transferring data, printing data and grouping data.

n Processing various inquiries.

n Formatting the sorted up list of reserve units in groups and in the digital format JPEG.

n Drawing up museum reports in doc. Format

n Following the statistics of reserve units transference.

n Differentiation of the access among the users.
